Job Purpose

To operate a Reception Desk, small switchboard and a computerised system that controls a real time helpdesk monitoring reactive and planned maintenance work. To process post and parcel deliveries. To assist in recording of planned and statutory maintenance, procurement of goods, purchase requisitions, receipts of requisitions, administration of invoices and personnel records.

Roles and Responsibilities

Reception and General Office Duties

  • Provide a Reception service to the offices, keeping records of all visitors, contractors and issue of keys
  • Accept, process and distribute parcel deliveries for residents
  • Liaise, as necessary, with the university client, sub-contractors, UPP RSL staff and residents
  • Assist the relevant manager(s) in the co-ordination of all on-site activities
  • Support the relevant manager(s) with day to day administration

Helpdesk Administration

  • Operate a computer based property management database monitoring all reactive work and planned maintenance
Procurement
  • Assist in procurement of goods and services via the UPP RSL purchase system:
  • Produce purchase orders for goods and services
  • receipt purchase orders

Record Keeping

  • Assist in maintaining all personnel records held on site
Other
  • Undertake training as required
  • Be prepared to work additional hours, as and when the need arises, especially during the main student arrival and departure weekends
  • Other duties as commensurate with the post

Experience


Previous administrative experience and working knowledge of good office practice



Experience of administration in a facilities management environment.

 Experience of administration in the education sector

Skills/Knowledge/

Ability

Excellent writing skills and the ability to communicate effectively (in person, on the phone and via e-mail) with a wide range of people

Ability to interpret and manipulate data with excellent attention to detail

IT literate with good practical ability in MS Office (Excel, Word etc.), database and spreadsheet applications

Proven ability of being able to work   within a team as well as planning  and prioritising own work

Education/

Qualifications

 

GCSE Maths & English

 

 

Educated to ‘A’ level or equivalent

 

Personal Qualities

Good interpersonal skills, preferably gained in a customer-focused environment

High level of personal discretion and tact especially when dealing with sensitive and/or confidential material

Ability to work well with staff at all levels, to contribute as a team member in a busy office and to assist in different areas as required
