TYPE: Intern for 12 month contract

HOURS PER WEEK: 37.5 per week, Mon-Fri

The Role

Working in a small team the incumbent will provide first tier HR support and get exposure to all aspects of HR practice. As well as London, the HR team supports small offices within Europe. The main focus of the role is to undertake the necessary HR administration tasks, however with experience and knowledge the incumbent will be expected to take on wider tasks to assist in business operations and strategic objectives and support the HR Business Partners. There will also be specific projects allocated by the VP of Human Resources. There will be exposure to employees at all levels in EMEA as well as interaction with US based colleagues at Corporate level.

We are seeking an experienced administrator, HR or payroll knowledge would be an advantage but it is not essential.

MAIN RESPONSIBILITIES:

  • Assist in co-ordination of recruitment activity, such as respond to reference requests, applications for employment, undertake all pre-employment background checking administration, probationary Period administration including notifying line managers of probationary period and period completion letters.
  • Complete all elements of New Starter and Leaver administration, including the delivery of a one day induction for all new starters and ensuring the relevant surveys have been undertaken, along with collating data from the surveys and feeding back to relevant HRBP.
  • Prepare and issue contracts of employment and offer packs, process letters for promotion and changes of employment, assist in annual benefit renewal
  • Training including booking courses with external providers, co-ordination of internal training programmes including preparation of course materials, booking venues, arranging refreshments, and maintenance of individual training records
  • Assist with the preparation of payroll information on a monthly basis
  • Record and monitor all absence (holidays, sickness and miscellaneous absence) as part of the monthly reporting and administer employee benefit programs including private medical/dental, season tickets, optical claim forms etc.
  • Organisation of meetings for department members, ensuring rooms, diary and refreshments are available as required (e.g Employee Forum Meetings)
  • Maintain accurate manual and computerized personnel files, HR subject files and relevant systems, such as updating Employee profiles on intranet, HR policies and procedures on the HR Central policy website, Manager Guide and Employee Handbook, company Organisation charts etc.
  • Immigration; ensure and certify that individuals have the right to work in the UK.Maintain tracker on any VISA restrictions which may apply and ensure we have the relevant evidence on file as part of the UKBA requirements.

Qualifications

  • Studied a relevant degree course

Technical/Vocational Skills

  • Must be highly competent in the use of MS Office particularly Excel, Word and outlook with some previous experience with powerpoint an advantage.
  • It would be an advantage to be familiar with Oracle System.

Knowledge

  • Excellent organizational skills with the ability to deal with high volumes and prioritizing own workload to meet deadlines
  • Experience of working under pressure in a busy office environment and achieving deadlines
